The build — 30 minutes per client after first setup
Assumes you already have a Databox Agency Pro account and an n8n Cloud workspace. First-time setup of those two adds ~45 minutes, then every client after that is the 30 minutes below.
1. Provision the client in Databox (~5 min)
In Databox Agency Pro, create a new client account from the workspace switcher.
Connect the client's primary data sources via the connector library (GA4, HubSpot, Meta Ads, Google Ads, Stripe — whichever apply). Most connectors are 1-2 clicks with OAuth.
Build (or clone) the client KPI dashboard. The standard agency template covers traffic, conversion, paid spend + CAC, pipeline, and revenue — start from Databox's template gallery and customize per client.
Note the account_id and the metric IDs you'll reference — n8n needs them.
2. Wire Databox MCP into n8n (~10 min)
In n8n, create a new workflow. Add a Schedule Trigger set to weekly (Monday 6am client local time is the default).
Add an OpenAI or Anthropic chat node (n8n supports both natively). Pick Claude 4.7 Sonnet or Opus — both handle MCP tool calls cleanly.
Add a Databox MCP tool to the chat node. n8n's MCP Client Tool integration accepts the HTTP endpoint https://mcp.databox.com/mcp + your Databox API key in the auth header.
Write the system prompt: "You are a marketing analyst writing a weekly client report for {{$json.clientName}}. Pull traffic, conversion, paid CAC, pipeline, and revenue metrics via the Databox MCP server. Compare week-over-week and prior period. Flag any metric that moved >2σ. Generate a 3-paragraph narrative explaining the data — what changed, the likely cause based on the data available, and what to watch next week."
3. Wire delivery (~10 min)
Pick your deliverable channel — PDF email is the agency default. n8n's HTML to PDF + Send Email nodes get you there in two clicks. For Slack-native clients, swap in the Slack Send Message node. For Notion-native clients, the Notion: Create Page node.
Template the body using the AI output as the narrative + a screenshot of the Databox dashboard (Databox has a snapshot API; n8n's HTTP node hits it).
Cc the account manager on the first send so they can review before the client sees it. After 2-3 weeks of trustworthy output, drop the AM from the cc and let the AM proactively review before the scheduled send.
4. Test + activate (~5 min)
Trigger the workflow manually for last week's data. Read the AI output — does the narrative match what you'd write by hand? If not, iterate the prompt.
Activate the schedule. Set a Slack notification so the AM knows when the report fires.
For each additional client, duplicate the workflow + swap the account_id + clientName variables. Each new client is ~10 minutes after the template is built.

Even with grounded AI, the AM still reads the draft and edits before the client gets it. Two reasons: (1) the AI doesn't know about the campaign you launched yesterday or the customer complaint from last week, (2) tone matters at the relationship layer. Plan for 5-10 min of AM review per report.
Client context
Anything outside the data
Seasonality, campaign launches, competitor moves, client feedback themes — the AM adds these in as a paragraph or two. The AI handles the data narrative; the AM handles everything else the data doesn't see.

AI can flag what changed. It's less reliable at 'so what do we do about it' — that's the AM's value. Keep next-week recommendations human-authored unless you've trained a fine-tuned model on your agency's specific playbook.
QBRs
Quarterly business reviews
Weekly reports are AI-shaped. 30-slide QBRs with custom narrative arcs and forward-looking strategy are not. Use this stack for weekly + monthly only; build QBRs by hand on top of the data.
Common failure modes
Metric drift across clients. If "revenue" means net of refunds in one Databox account and gross in another, the AI narrative will be inconsistent. Fix: standardize metric definitions across all client Databox accounts before activating the workflow.
Over-prompting the AI. The longer the system prompt, the more likely Claude will deviate or skip a metric. Start with a tight 3-5 sentence prompt; add complexity only when needed.
Sending without AM review for the first 2-3 weeks. The AI gets the data right but the narrative needs tuning to match your agency's voice. Always cc the AM on early sends; drop them once the output is trustworthy.
Trying to do QBR-depth work weekly. The 30-minute build is for weekly + monthly reporting. Quarterly business reviews still need a human writing the narrative arc.
